The implementation

Design the workflow.
Connect the systems behind it.

01 /

Define each payment step before connecting the API.

A payment connection should reflect the way your business takes money and fulfils a service. We map the requested payment, customer reference, provider response and final status so each system can identify the same transaction.

Payment initiation: Scope hosted checkout, payment requests or other supported vendor methods, using the fields and authentication required by the provider.

Consistent references: Agree customer, invoice, order and transaction identifiers so a payment can be matched back to the correct record.

Credentials and environments: Separate test and live connections, define access ownership and plan credential changes without placing secrets in the client interface.

02 /

Keep payment status consistent across the business.

The initial API response is not always the final payment outcome. We design event handling around the vendor's webhook or status-query mechanism, including duplicate messages, delays and events that arrive in an unexpected order.

Webhook handling: Scope event verification, transaction matching and protection against processing the same event more than once.

Useful status messages: Translate provider responses into agreed client and staff states, with a clear next action when a payment needs attention.

Exception recovery: Define retry rules, timeouts, manual review queues and escalation for events that cannot be safely resolved automatically.

03 /

Connect payment activity to the records behind it.

Give finance and operations a shared way to investigate a payment. The integration can pass agreed events and references to your CRM, portal or reporting workflow, while keeping refunds, fees and settlement differences visible.

CRM and portal updates: Update the agreed customer or case record when payment state changes, without requiring staff to re-enter the same information.

Settlement and fee mapping: Map gross payments, provider fees, refunds and settlement references where the provider makes those records available.

Reconciliation workflow: Define matching rules, exception reasons and review actions for differences between your records and provider reports.

A practical starting point

Know what you’re buying.
Agree how it will work.

Lumora Tech connects payment vendor APIs with websites, CRM systems and client portals. The work can cover payment initiation, provider events, status updates and reconciliation, subject to the selected vendor’s interfaces and account permissions.

01 / THE SYSTEM

What you can scope

  • Supported payment methods and the client or staff action that initiates a payment.
  • Transaction references, event handling and consistent payment states.
  • CRM, portal and finance updates linked to the correct customer record.
  • Refund, exception and settlement review workflows where the vendor supports them.
02 / THE DELIVERY

What we agree before build

  • The payment provider, merchant account eligibility and sandbox access.
  • Systems to connect, data ownership and a shared transaction reference.
  • Failure recovery, duplicate handling and who owns unresolved payments.
  • Test cases, release responsibilities and post-launch monitoring.

What the project should deliver

Agree the outcomes
before the build starts.

Scope the service around real users and operating responsibilities, with acceptance criteria for the workflows that matter.

01

A clear transaction history

Payment references and states designed to connect the customer action with the provider event and your internal record.

02

Less manual re-entry

Agreed updates passed between your payment vendor, CRM and portal wherever their interfaces support them.

03

A defined path for exceptions

An operating process for payments that need investigation, rather than an unexplained failed status.

Questions & answers

Plan the details
with Lumora Tech.

Which payment vendors can Lumora Tech integrate?
We assess the vendor you want to use against its documentation, account permissions, sandbox access and supported APIs or webhooks. Vendor compatibility is confirmed during scoping. This page does not imply a partnership or an existing connector for every provider.
Can payment information update our CRM and client portal?
Yes, that connection can be included in the scope where the systems expose suitable interfaces. We agree the identifiers, fields, events and permissions required so the update reaches the correct record and avoids duplicate processing.
How do you handle delayed or duplicate webhook events?
The implementation should verify events, identify duplicate messages and apply agreed transaction-state rules. We also define retries, status checks and manual review where a delayed or conflicting event cannot be resolved safely. The exact design depends on the vendor's event model.
Can you help with refunds and reconciliation?
These workflows can be scoped if the provider supports the relevant actions and reports. We map who can initiate a refund, how it is approved, the states the client sees and how refunds, fees and settlements appear in your records.
Does an integration include merchant approval or payment processing?
No. Development of a connection does not itself approve a merchant account or make Lumora Tech the payment processor. Vendor onboarding, eligibility, settlement terms and processing fees are separate arrangements unless expressly included in an agreed service.
