Start with consistent references

Agree the customer, invoice, order and transaction references before connecting systems. A provider payment ID should be mapped to the internal record that staff and clients recognise. Establish the source of each field so an update does not silently overwrite a different system’s information.

Treat the payment as a lifecycle

The first response may not be the final result. Define the states your business needs: created, pending, completed, failed, refunded or disputed where supported. Explain which state the client sees, which team should act and what evidence is required to move the record forward.

Design event handling for repeats and delays

Providers may deliver events more than once or in an unexpected order. Stripe’s webhook documentation describes these behaviours. Integration design should account for verified event origin, duplicate detection, safe processing, retry handling and a way to investigate unresolved events. The exact mechanism depends on the selected provider.

Connect events to CRM and portal records

Map provider states to the agreed internal states. A completed payment may update an invoice or case; a failed payment may create a task or client action. Keep the event reference and a useful history so staff can investigate the result without reconstructing it from unrelated messages.

Include finance and recovery in the scope

Payment amount, fees, refunds and settlement may be different records. Agree how they will be matched and which differences need review. Test sandbox cases, permission boundaries and recovery from failed requests before the live integration is accepted.
