The implementation

Design the workflow.
Connect the systems behind it.

01 /

Give every enquiry an owner and a next action.

Start with the stages that matter to your business. We map how an enquiry enters the system, what makes it qualified and how it moves to an appointment, proposal, application or active client relationship.

Lead intake and attribution: Scope the capture of website enquiries, referral details and acquisition sources, with clear handling for duplicate contacts.

Assignment and follow-up: Define assignment rules, tasks, reminders and escalation so a lead does not depend on someone remembering to check a spreadsheet.

Pipeline stages: Use meaningful stage definitions, required information and closure reasons that reflect how your team sells.

02 /

Keep the context your team needs to do the work.

Bring agreed client information, activity and service requests into a record your team can use. The goal is a clear account of what happened, what remains outstanding and who should act next.

Structured records: Define the people, organisations, documents and custom fields relevant to the business, with clear ownership of data changes.

Activity and case history: Scope notes, contact activity, service requests and handover records so another team member can understand the current position.

Roles and access: Map record visibility and permitted actions to your team structure, including the treatment of sensitive information.

03 /

Make the CRM part of the process around it.

A useful CRM should exchange the right information with the rest of the business. We scope the integrations and reporting around agreed data definitions, so updates have a clear source and reports answer specific operating questions.

Website and portal connections: Plan how enquiry forms, applications and client requests create or update records without losing their original context.

Payment and service events: Connect supported payment or delivery events to the relevant customer, case or opportunity where that information helps staff act.

Operational reporting: Define pipeline conversion, response times, outstanding work and source attribution with consistent filters and reporting periods.

Questions & answers

Plan the details
with Lumora Tech.

Is the CRM service only for financial businesses?
No. The CRM can be scoped for businesses in different industries. The record structure, sales stages, service workflows, permissions and integrations are defined around the requirements of that business rather than a single exchange workflow.
Can you work with our existing CRM?
We can assess improvements and integrations for an existing system as part of discovery. Feasibility depends on the platform's APIs, configuration options, access permissions and the quality of the data already in it.
Can you migrate contacts and existing records?
Migration can form part of the project. We first agree the field mapping, duplicate handling, ownership, retention requirements and acceptance checks. A sample migration should be reviewed before a final import is approved.
Can the CRM connect to our website and client portal?
Yes, those connections can be included in the implementation scope. We define which enquiries, applications and requests should create records, which fields can update them and how the systems identify the same client.
Can different team members see different records?
Role and record access can be designed around your team structure, account relationships and responsibilities. We agree access to sensitive information and permitted actions, then validate those rules before launch.
